Getting new joiners set up on Ben

Got new teammates joining the crew? Nice one! You can add them to Ben and give them access to their benefits in just a few clicks — right from the Admin Portal.

Here’s how to manually add them via CSV:

• Head to the People tab.
• Click Import Users — you’ll see the screen shown below.
• Select Download .CSV to grab the template for adding users manually.
• Fill in all the mandatory fields, plus any extra details you’d like to include.
• Upload your completed file, then hit Import in the top right corner.

A few quick things to note:

• First name, Last name, and User email are mandatory.
• For dates (like date of birth or employment start), use the format yyyy-mm-dd.
• Use 2-character ISO country codes — for example, GB for the UK or ES for Spain.
• First name and Last name fields have a 20-character limit each.
• If you use an HRIS/SFTP, it’s best to add employees that way instead of manually.

Here’s how to manually add them via the platform:

• Head to the People tab.
• Select Add Users in the top right.
• Fill in the required details i.e name, email, date of birth etc.
• Once filled in, select Send invitation. The employee will then get an email invite to the platform to login.
